Calculating Holiday in Hours

Afternoon,

I am sure for some of you this will be a really easy question to answer but I am having trouble getting my head round it!

We have a number of staff on part time and we haven't pro rata the bank holidays we just did it if it fell on one they had it if they didn't they didn't and as all of the worked Mondays they came off well. However now we have a few that work Wed to Fri and whilst I was off they had their holiday calculated to pro rata the bank hols as well.

This works fine for those who work same hours every day but we have one girl who works 2 full days and 1 half day and I cannot work her holiday out, guessing it would be better in hours but not sure as we run days here!

Any help would be much appreciated!

Thanks

Rachel

  • Hi Rachel

There is an option in my organisation to either calculate in days or hours. Those working full time tend to lean towards days where as those working key time calculate in hours. I am key time and I don't work the same hours every day and find it far easier to manage in hours.

Pro Rata Holiday calculation Once you have pro rata her annual allowance (using her FTE) calculate her contracted hours per week to find her annual allowance.

eg full time equiv is entitled to 20 days per year. key time 21 hours per week  (full time 35). FTE is 0.6. Key time pro rata holiday is 12 days. times this by number of hours contracted per day for full time employee (in this case 7) and the total hours is 84.

Bank Holidays. alternative ideas? I have all Bank Holidays added to my annual pro rata annual holiday allowance in hours. If a Bank Holiday falls on my working day I have a choice. Either take that day as holiday or I work the next available working day to work my contracted hours that week. That was its not an issue if a bank holiday falls on a non working day as I claim it back within my holiday allowance.

    hope that helps

    Jo
