Flexible Working Meeting

Hi All

I have got to conduct a flexible working meeting in a week or so and I am not really sure what it should contain as a lot of our meetings beforehand have been fairly relaxed. However this lady in particular has already quoted legislation at me so I want to make sure everything is done correctly.

Any suggestions would be greatly appreciated as always

    Thanks for messages and advice, its much appreciated. We held the meeting yesterday, she wants to work half days every other week on our production line which sadly isn't going to work, as they work part of teams, so hard bit now is we have to let her know and she'll have to make decision to leave or return on hours before.

    If not have you looked at ACAS website, they have some useful guides and I'm sure one is on flexible working and point our both sides to the discussion.

  • Hi Rachel,

    I did this a year ago for one of my own team. Luckily my company had standard application forms and a standard process for dealing with the application which made it straightforward. If a manager was happy to go with the proposal, then the details could be approved on the application form which was then forwarded to central HR (hub) who would write the new contract.

    There is clear, concise guidance of the legal position on the Gov.UK website including the details to be included in an application - search for "flexible working" to find the relevant pages. I would definitely run through that if you haven't already.

    Hopefully the lady has already had an informal chat with her manager about the outcome she is hoping for and the manager has had an opportunity to discuss it with you. I presume you are acting in an HR capacity?

    PS as you build up your knowledge and as you work your way through this, you might want to consider developing a standard application procedure with standard forms for your company, if you haven't got them already.

  • Have a witness in the meeting.....sure you are doing that but just in case it goes wrong.

    Well firstly the thing to remember is that the company's needs come first, yes you can and should be flexible with employees & help to create work-life balances but the business has to continue.

    Secondly at my company we have the following rule - if an agreement is made it is on a trial basis for 3-6months & then reviewed so discuss whether this will be a permanent change.  If it's agreed that it is permanent that employee can then not make a request to make changes again for (i think) 2 years.

    The usual things of documenting the meetings & agreements as well as not discriminating against any of the protected characteristics come into play.
